Hashti/How Hashti works

How Hashti works

Short guides for every part of Hashti, in plain steps. The same guides are inside the app: open the You tab, then How Hashti works.

  • The basics
  • Verify your ID
  • Business
  • Files and Drive
  • Your AI office

The basics

Sign up and get started

  1. Open Hashti and tap Create account. A username and a password is all it takes. You can also use Apple, Google or your phone number.
  2. When the phone asks "Allow notifications?", tap Allow. This is the one step people skip and then regret: without it Hashti cannot tell you about a message, a call or an approval while the app is closed.
  3. Add a photo and a short about line on the You tab, so friends know it is you.
  4. Tap the pencil button on the Messages tab to start a chat, or the people tab to find friends.
  5. Optional: verify your ID once on the You tab. It opens up extras like walkie-talkie with strangers and earnings.

Turn on notifications (and fix them)

  1. Notifications are how Hashti reaches you when the app is closed: new messages, calls, friend requests, ID results and, for business owners, approvals and client messages.
  2. If you said no at sign-up, a red card on the Messages tab says "You will miss messages". Tap its button.
  3. If your phone has blocked them, the button says Open Settings. Switch Notifications on for Hashti, then come back. The card disappears by itself.
  4. You can also turn them on or off any time in Settings. Off stays off, until you switch it on.
  5. Check once a month. A new phone, a phone update or a restore can quietly turn them off.

Private chats and messages

  1. Tap the pencil on the Messages tab, pick a person, and write. Hold a message to reply, react, star, edit for fifteen minutes or delete.
  2. Send photos, videos, files, a location, a voice note or a round video note with the buttons next to the message box.
  3. Pin up to three chats to the top, mute a noisy one, or archive a chat you want out of the way.
  4. Search the box at the top of Messages to find a chat, a person or a word inside any message.
  5. Strangers land in Message requests. They cannot see whether you read it until you accept or reply.

Groups, communities and channels

  1. To make a group, tap the pencil and choose New group. Add people, give it a name and an icon.
  2. Share the invite link or QR code from the group settings. Turn on join approval if you want to say yes to each person.
  3. Admins can pin messages, remove messages and decide who can send. Use @name to get someone's attention even in a muted group.
  4. Communities keep several groups together under one name. Channels are for following: updates, photos and polls from one person or business.

Calls and walkie-talkie

  1. Open a chat and tap the phone or camera at the top to call. Up to sixteen people can be on one call.
  2. Make a call link to invite people who are not in the chat. They knock, and you let them in.
  3. In a private chat or group, hold the walkie-talkie button and whoever has Hashti open hears you live. Nothing rings.
  4. You can turn the walkie-talkie off entirely in Settings.

Translation

  1. Open Settings, then Language, and choose the language you read in.
  2. Tap a message in another language and choose Translate to read it in yours.
  3. Hashti Plus can translate automatically, so a conversation across two languages feels like one.

Privacy and lock

  1. Open Settings, then Privacy checkup. It walks through who can message you, who sees when you were last here and who can add you to groups.
  2. Turn on App lock to ask for Face ID, your fingerprint or a PIN every time Hashti opens.
  3. Lock a chat to hide it behind your secret code. Locked chats close when you leave the app.
  4. Use Secret chat with a friend for end-to-end encryption. Nobody outside it can read it, Hashti included.
  5. Link a web browser by scanning a QR code, and sign out any device you do not use from Settings.

Invite a friend

  1. Open the You tab, then My QR. Show it to a friend, or share the link.
  2. Your friend scans it inside Hashti (Scan on the people tab) or taps the link, and you become friends.
  3. Match contacts if you like. It is off until you turn it on, and the numbers are kept only as fingerprints.

Verify your ID

Verify your ID

  1. Open the You tab and tap Verify my ID. It is done once and takes about a minute.
  2. Choose a passport, driving licence or national ID card, then type your name and date of birth exactly as printed on it.
  3. Photograph the real card on a plain surface in good light. All four corners in the frame, no glare, every word readable. A picture of a screen or a photocopy gets refused.
  4. Send it. You will get a notification when a person has looked at it, usually within a day.
  5. When it is approved, the photo is deleted right away. Hashti keeps only a fingerprint of the document number so it cannot be used for a second account.
  6. If it is refused, the notification says why. Tap Try again with a clearer photo or a different document.

Business

Start a business and share your link

  1. Open the You tab and tap Business, then Start a business.
  2. Type your business name. You can also write a first message that every new client gets, like "Hi! Tell us about your project."
  3. Tap Create. You land on the Share screen with your own link and QR code.
  4. Tap Share to text the link, or Copy link to put it in your Instagram bio, your email or your website. Print the QR code on a card, a sign or a flyer.
  5. Anyone who opens the link or scans the code can start a private chat with you. They sign in, or make a free account, and the chat opens on its own.
  6. One account can run up to three businesses.

What your clients see and how the inbox works

  1. Each client gets their own private chat called "Hashti - Your Business Name". Only that client, you and your staff are in it. Clients never see each other.
  2. Open the Business tab and tap your business. Every client chat is in one list, newest first, with a number for unread messages and a yellow tag when a card is waiting for an answer.
  3. Tap a chat to write back. It is a normal Hashti chat: photos, voice notes, files and calls all work.
  4. You get a notification when a new client opens your link and when a client writes. Quiet hours (see below) can hold the buzz until morning.
  5. A client who opens your link a second time lands in the same chat, never a new one.

Send a quote, invoice, booking or approval card

  1. In your business list, tap Send a card under a client chat.
  2. Pick the kind: Quote, Invoice, Booking or Approval. Give it a title, and a note if you want.
  3. For a quote or invoice, type the amount. If you made a payment link in the Fynl portal, paste it. It has to start with https://.
  4. For a booking you can add a date and time. For an approval, just write what you need a yes or a no on.
  5. Turn on Urgent if the answer cannot wait. Urgent answers buzz your team even in quiet hours.
  6. Tap Send. The card appears inside the chat. The client taps Approve or Decline, or Pay now on an invoice, and you get a notification the moment they answer.
  7. You can confirm a booking, cancel a card, or mark an invoice paid by hand from the card itself. The Fynl portal can mark invoices paid for you when the payment goes through.

Add staff, and what they can and cannot see

  1. Open your business, tap Team, then Invite staff. Send the invite link to the person. It works once and lasts a week.
  2. They open the link in Hashti, tap Join the team, and are added to every client chat, past and future.
  3. Staff can read and answer clients, and send bookings and approvals.
  4. Staff never see an amount, a payment link, a quote or invoice total, or your numbers. Cards show them the title and the state only, and their notifications never include money.
  5. Only you, the owner, can send quotes and invoices, mark invoices paid, change settings, and invite or remove staff.
  6. To remove someone, tap Remove next to their name on the Team screen. They leave every client chat at once.

Notifications and quiet hours

  1. Make sure notifications are on for Hashti. Without that, no business alert can reach your phone while the app is closed. A red card on the Messages tab will tell you if they are off.
  2. You are notified about: new clients, client messages, quotes and bookings approved or declined, and payments.
  3. Open your business, tap Settings, and set Quiet hours. The default is 10 pm to 7 am where you are.
  4. During quiet hours your phone and your team stay silent for client messages. Everything is waiting in the app when you wake up.
  5. An urgent card still gets through, and so does a payment. Your clients are never put on quiet hours.

Your numbers (owner only)

  1. At the top of your business screen the owner sees: quotes waiting for an answer, quotes approved, unpaid invoices, and paid invoices, each with a count and a total.
  2. Staff do not see this box at all. They see a note that amounts are for the owner.
  3. The totals update when a client answers a card or an invoice is paid. Pull down on the screen to refresh.

If you are the client

  1. Open the business link or scan its QR code. You see the business name and one button: Message the business.
  2. If you do not have Hashti yet, make a free account. Say yes when your phone asks about notifications, so you hear the answer.
  3. Your private chat opens. Write your question, or wait for the business to send a quote or booking.
  4. On a quote, booking or approval card, tap Approve or Decline. On an invoice, tap Pay now. You can find the business again any time under You, Business, Businesses you talk to.

Files and Drive

Save your files in your own Google Drive

  1. Hashti does not keep your files. They go into your own Google Drive, so they are always yours and cost you nothing extra.
  2. Open the You tab, then tap Files in Google Drive.
  3. Tap Connect Google Drive. Google asks which account to use.
  4. On Google’s screen, leave the box for files Hashti creates ticked. Hashti can only see the files it saves, nothing else in your Drive.
  5. When Google says you are connected, you come back to Hashti. You will see your Google address on the screen.

Add and open a file

  1. On the Files screen, choose a folder name, for example your business name. Hashti saves into a Drive folder called “Hashti - ” and that name.
  2. Tap Add a file and pick a PDF, photo, spreadsheet or anything else, up to 25 MB.
  3. If Google is slow, the file shows Saving… and is tried again for up to a day. Once it is in your Drive, Hashti lets go of its own copy.
  4. Tap a file to open it. Hashti brings it back from your Drive for that moment only.
  5. To delete one, tap the bin, or press and hold the file. It is removed from your Drive too.

Disconnect or reconnect Google Drive

  1. Open Files in Google Drive and tap Disconnect. Hashti loses access straight away.
  2. Everything already in your Drive stays there. Files show Disconnected in Hashti until you connect the same Google account again.
  3. If you ever remove Hashti in your Google account settings, the screen says Google took access away. Tap Connect again.

Your AI office

Link Hashti to your Fynl office

  1. In your Fynl portal, open Office and find "Your office on your phone (Hashti)". Press Connect.
  2. A QR code appears. Point your phone camera at it and tap the link, or scan it inside Hashti.
  3. Hashti asks you to approve the link. Tap Approve. The portal page connects by itself.
  4. Open Hashti and find the private chat called "Your business name · Office". Only you are in it.
  5. Make sure notifications are on for Hashti, or the office cannot reach you when the app is closed.

What you can ask your AI office

  1. Ask how your agents are doing, or ask the assistant to run one.
  2. Ask for a lead, contact, task, job or expense to be added. It checks with you first, and nothing changes until you say yes.
  3. Ask for a draft invoice or quote for a client. It is only a draft. It is never sent until you open it in the portal and send it.
  4. Ask what needs you today, or what your clients wrote.
  5. The AI runs on your own Claude or ChatGPT key, added in the AI section of your portal account. Without a key it will ask you to add one.

Yes or no approvals

  1. When an agent wants to do something that needs you, it writes to you in the office chat and ends with "Reply yes to approve it, or no to decline."
  2. Reply yes and it is done. Reply no and nothing changes.
  3. A plain yes or no always answers the question that is waiting, so you do not need to explain.

Client messages and voice notes

  1. New messages from your clients arrive in the office chat. Reply to one to answer the client.
  2. Write "draft" and the assistant suggests a reply for you. Reply yes to send it, or write your own words.
  3. Send a voice note instead of typing. It works when you have added a ChatGPT key. With a Claude key, type it.

Morning brief

  1. Turn on "Send me a morning brief" in the same Hashti panel in your portal.
  2. Each morning you get one short message: new leads, overdue invoices and suggestions waiting for your yes.
  3. Turn it off any time with the same switch.
